Administration
Team & roles
Four roles (Org Owner, Project Admin, Editor, Viewer), what each can do, and how to invite people into them.
Optimeleon has four roles. Two levels of membership sit behind them: everyone belongs to an Org, and each person has a role per Project, so an agency staffer can be a Project Admin on one client and a Viewer on another.
What each role can do
| Org Owner | Project Admin | Editor | Viewer | |
|---|---|---|---|---|
| View pages, analytics and Brand Center | ✓ | ✓ | ✓ | ✓ |
| Scan pages, run discoveries and builds | ✓ | ✓ | ✓ | ✕ |
| Edit variants in Variant Studio | ✓ | ✓ | ✓ | ✕ |
| Publish a variant | ✓ | ✓ | ✓ | ✕ |
| Manage media and conversion events | ✓ | ✓ | ✓ | ✕ |
| Manage integrations (ad accounts, Shopify) | ✓ | ✓ | ✕ | ✕ |
| Manage project members | ✓ | ✓ | ✕ | ✕ |
| Create and delete projects | ✓ | ✕ | ✕ | ✕ |
| Manage org members | ✓ | ✕ | ✕ | ✕ |
| Billing | ✓ | ✕ | ✕ | ✕ |
Who creates an Org
Orgs are provisioned by Optimeleon, not self-served. Your Org and its first project are created for you, and the first person invited becomes the Org Owner, who administers everyone else from there.
Inviting people
- Open Settings → Team.
- Enter the person's email and choose their role. The role is assigned with the invite, so you are not inviting them and then deciding.
- They receive an invitation email, follow the link back to Optimeleon, and set a password or sign in with Google.
Invitations expire, so re-send one that has gone stale rather than waiting on it.
Choosing a role
| Give someone… | When |
|---|---|
| Viewer | They need to see results but will not change anything: a stakeholder, a client contact, an analyst. |
| Editor | They do the optimization work: scanning, building, reviewing, publishing. This is the default for most marketers. |
| Project Admin | They also own the project's setup, meaning its integrations and its people. |
| Org Owner | They own the account: billing, org membership, and creating or deleting projects. Keep this to one or two people. |
Important
Editors can publish. That is deliberate, because publishing is the everyday act of the job and a workflow that needs an admin for every variant does not get used. If you need publishing held back further, talk to your Optimeleon contact rather than downgrading people to Viewer.
